Write the message before choosing the construction

Separate the signal word, hazard statement, consequence, and required action where the chosen standard calls for that structure. Keep the wording short enough to read under the actual viewing conditions. A paragraph that works in a document may fail on a machine guard or roadside sign.

Identify any text that changes by site, machine, language, or product model. This affects artwork control and may also affect the best printing or marking route.

Plan for viewing distance and lighting

Letter size, line spacing, contrast, and sign dimensions should follow the expected viewing distance. State whether the sign will be read at arm’s length, across a workshop, from a moving vehicle, or in a dim service area.

Adhesive mounting needs information about the installation surface. A smooth powder coated panel and a rough masonry wall are not the same application. Large signs may also need mechanical support even when adhesive is part of the assembly.

Control revisions and variable versions

Warning sign projects often contain several similar artworks. Use a clear part number or file name for each version. The artwork approval should show the language, symbol, dimensions, colors, holes, and revision in one place.

Do not rely on a thumbnail in an email to identify a version. A simple artwork schedule reduces the chance that a correct sign is packed for the wrong machine, site, or market.

A production proof can confirm layout and content, but the buyer remains responsible for approving the warning message, symbols, language, and any local compliance requirements.

Prepare the enquiry as an installation brief

Include the approved artwork, sign schedule, dimensions, quantity by version, material preference, environment, mounting, finish, packing, and destination. If the material or process is still open, explain the performance target instead of guessing.

A complete brief gives the quotation a stable basis. It also gives artwork review, production coordination, inspection, and packing the same reference, which matters more than adding generic claims about quality.
