What should a custom sign specification include?
A useful specification gives the quotation team enough detail to compare workable materials, processes, mounting, and packing.
A custom metal sign enquiry does not need to be a finished engineering package. It does need enough context to prevent a supplier from quoting the wrong construction. The most useful briefs explain what the product must do, then attach the dimensions and artwork that define what it must look like.
Describe the product and its job
Begin with the product type: equipment nameplate, decorative sign, safety sign, metal label, sticker, or aluminum blank. Then describe where it will be installed and who will use it. This gives meaning to the technical details that follow.
State whether the item is for permanent equipment identification, retail display, brand decoration, asset tracking, vehicle use, packaging, or another application. If the product must comply with an internal drawing or customer specification, attach that document and identify its revision.
Record dimensions in one clear drawing
List the overall width, height, thickness, corner radius, hole size, hole position, slots, folds, raised areas, and any custom outline. Use one unit system throughout the drawing. If both inches and millimeters appear, mark which dimensions control production.
A photograph with arrows is useful for context but should not replace a dimensioned drawing. For parts that fit into a recess or panel opening, include the available tolerance or the mating dimensions that matter.
Prepare the artwork for review
Vector PDF, AI, EPS, or SVG files are usually easier to review for logos and line artwork. Raster images should be supplied at the intended print size with enough resolution for the selected process. Convert fonts to outlines or include the font information required to reproduce them.
Separate fixed artwork from variable information such as serial numbers, QR codes, barcodes, dates, or model names. Provide the data in a structured file and show one completed example so the sequence and placement are clear.
Define color and surface appearance
List each color with a Pantone reference, CMYK build, approved sample, or another agreed reference. Screen color alone is not a reliable production target. Metal grain, gloss, reflection, coating, and print method can change how a color appears.
Describe the background as carefully as the printed graphics. “Silver” might mean bright, brushed, matte, anodized, polished, or another finish. Add a close reference image if the appearance is difficult to explain, but identify it as a reference rather than an exact sample.
Include the environment and expected wear
Indoor or outdoor installation
Sunlight, rain, salt, humidity, or temperature exposure
Cleaning chemicals, oils, fuels, or solvents
Abrasion, impact, handling, or repeated washing
Expected service period and replacement access
This information helps compare materials, print systems, coatings, edge treatments, and mounting options. Avoid broad labels such as “weatherproof” without describing the weather and service conditions involved.
Specify how the product will be installed
Show holes, slots, studs, adhesive areas, rivets, screws, hanging features, or frames in the drawing. For adhesive products, describe the application surface. Smooth painted metal, powder coating, textured plastic, glass, and curved surfaces may require different review.
If the installer needs removable backing tabs, alignment marks, protective film, or a supplied template, include those details before the packing plan is confirmed.
Add commercial and packing information

State what will be checked at approval
Acceptance points should be visible and measurable where possible. Record the approved artwork revision, dimensions, colors, finish, graphic position, variable data format, mounting features, and packing. If a physical sample controls appearance, label and retain it as the reference.
Terms such as “good quality” or “same as usual” do not give an inspection team a usable target. A short list of approved details is more effective than a long description with no reference.
If several details are still open, send the application, target size, quantity, artwork, destination, and required date first. Mark the open items clearly. A practical quotation review can then identify which decisions must be made before sampling or order confirmation.
Keep one controlled version
File names such as “final,” “new final,” and “latest final” create avoidable risk. Use a drawing number or project name with a revision code and date. Put the same revision on the artwork, specification, quotation approval, and sample record.
A controlled specification is not paperwork for its own sake. It keeps the buyer, artwork reviewer, production coordinator, inspection contact, and packing team working from the same approved details.
